This Privacy Policy explains how our doctor–patient clinic management application ("App") handles your personal and medical information. By using the App, you agree to the practices described here. This policy applies to dentists, clinic staff, and any patient whose information is entered into the App.

01 Information We Collect

We collect only the information necessary to operate the clinic management system effectively.

For Doctors & Clinic Staff:

• Name, email address, phone number
• Clinic name and registration details
• Login credentials (encrypted)

For Patients (entered by clinic staff):

• Name, age, gender, contact number
• Patient code and visit history
• Treatment procedures and appointment records
• Billing amounts, payment status, and invoice records
• Clinical notes or images uploaded by the clinic

02 How We Use Your Information

Information collected is used solely to provide clinic management features:

• Display patient registry, appointment schedules, and payment ledgers to authorised clinic staff
• Generate invoices and billing reports
• Send appointment reminders (if enabled by clinic)
• Allow doctors to manage staff and clinic operations
• Improve app stability and fix errors

We do not use patient data for advertising, profiling, or any commercial purpose beyond the clinical workflow.

03 Data Storage & Security

All data is stored on secure servers. We implement the following safeguards:

• Encrypted data transmission (HTTPS/TLS)
• Password hashing — plain-text passwords are never stored
• Role-based access: only authorised users within a clinic can view that clinic's data
• Regular data backups

While we take all reasonable steps to protect your data, no system is completely immune to security risks. We encourage clinics to use strong, unique passwords and to revoke access promptly when staff leave.

04 Data Sharing & Disclosure

We do not sell, rent, or trade any personal or patient information. Data may be shared only in these limited cases:

• Within the clinic: Authorised staff of the same clinic can access shared records
• Service providers: Hosting or technical partners who help us operate the App, under strict confidentiality agreements
• Legal requirement: If required by law, court order, or government authority
• Clinic's own use: Clinics may export or download their own patient data for their records

05 Your Rights & Choices

Depending on applicable law (including India's Digital Personal Data Protection Act, 2023), you may have the right to:

• Access the personal data held about you
• Request correction of inaccurate data
• Request deletion of your data (subject to legal and clinical record-keeping obligations)
• Withdraw consent for data processing where consent is the legal basis

To exercise any of these rights, contact us using the details at the end of this policy. Clinics wishing to delete all their data may submit a deletion request; processing may take up to 30 days.

06 Children's Privacy

This App is intended for use by medical professionals and clinic staff. Minors' patient records may be entered into the system by a treating clinic as part of normal clinical practice — this is handled under the responsibility of the clinic and the patient's guardian.

We do not knowingly allow children to register as App users (doctors/staff). If you believe a minor has created an account, please contact us immediately.

07 Data Retention

Patient and clinic data is retained for as long as the clinic's account is active. Upon account deletion:

• Active records are deleted within 30 days
• Backup copies are purged within 90 days
• Anonymised usage statistics may be retained indefinitely

Clinics are responsible for retaining their own copies of records required by medical regulations before requesting deletion.

08 Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in the App or applicable law. When we do:

• The updated policy will be posted in the App and on our website
• The "Effective Date" at the top will be updated
• For significant changes, we will notify registered clinic accounts via email or in-app notification

Continued use of the App after changes take effect constitutes acceptance of the revised policy.
